08-14-2025 General Note     Open We were waiting on when this would be awarded for awhile. Finally got confirmation from a contact within CVS that it was award a long time ago. The lead of the program do not like using aggregators, they prefer to use self performers  
07-09-2024 Price Review Meeting Non Routine   Open CVS Pricing Strategy
•    95% will leave bait boxes on site – other 5% will take their because they are upset with being replaced
•    What if, you find droppings on the first visit of $65 service visit – that is included in the service visit
•    If they are called out the next week for something new, they have one free visit per month they can come out for no charge
•    Hourly rate kicks in when “bird is in the store” 
•    $65 across board for first 3 visits 
•    Do we want to bake in something additional for the Hepa vacuum
o    We don’t – they said its covered but if its more extensive, we can bill for it
•    Pricing is good for the whole state – there will be no change if we are awarded the entire state for OH, IN, KY
•    Could use this across the country but states where cost of living would be more than the norm
•    Terminix is being used down in FL – based on a provider that told us he won’t bid this
•    Do we want to change wildlife price – was quoted as $750 / week but CVS is asking for hourly 
•    Don’t want to go below 28% - we will pro be a little high but if you will work with us we can get more aggressive 
•    It’s a 5 year contract – these rates need to be higher so we can hold a rate for that length
•    35% margin to account for 5 year contract 
•    Sent over to RFI document so he can start to upload the answers
 
07-08-2024 General Note Non Routine   Open CVS Check In 
•    Hepa clean up / vacuum / rodents 
•    Haz mat suits may be needed depending on what is needed
•    If we set traps, but then are needed in other places – we are locked in 
•    We received some quotes and there is $65 across the board – looks like a travel cost vs service cost
•    This is a 5 year contract 
•    We can submit request to increase frequency – but if its user error we can’t bill it
•    The scope says to use Hepa but then is listed as excluded in the scope
o    CVS will get us clarification on this 
•    No one has requested an extension yet so due this Wednesday 
•    Hourly rate for wildlife needed 
•    Bidding IN, KY, OH
 
07-01-2024 General Note Non Routine   Open CVS Notes
•    Spoke to a provider who received this bid and chose not to bid. They are in 9 states – we would like to send them some details on the RFP, and they will send us some pricing. 
•    Terminix will be bidding some states as well
•    Out west (CA) and in FL – laws are being passed where you can not longer put out bait
•    Contingency to if any laws go into effect that our pricing will be subject to change
•    Harder to do down south since no freezes to kill off bugs
•    All n all its difficult to bid on these
•    8 or 9 months ago they bid this out and providers are wondering why they are re bidding
•    CVS sent out answers to all the questions 
•    Big call out is that if we need to go back out after a service in the same month, we are NOT allowed to bill for this
•    Dark stores will need to be serviced as well – there will be a lock box
•    We will want to bid a very minimum amount of states 
o    FL, GA, LA, NC, OK, SC, TN, & TX
o    Will send provider these states and we will price out based on this
•    149 nonretail locations in these states – roughly 3,000 locations if we bid these 
•    Ask provider about return trips after you treat mice, rats, ant, or cockroaches
•    Walgreens bid IN, KY, OH
•    Will not bid anything under 100 stores
•    Telling providers that we want pricing back by Wednesday
 
06-24-2024 Status Update     Open CVS Pest Weekly Check In 
6/24/2024
•    Having a hard time getting quotes from providers
•    Matt B wife has a company for Pest Control – Matt said stay away from using them as it’s a mess of a company
•    Will this change our strategy?
•    Clay just picked 3 states close to corporate office to bid – was not given any updates from customer on where they needed help
•    There just isn’t a lot of data, we can’t just win everything and figure it out
•    Curtis wants to do 10 states – top 10, CA FL TX NY PA MA NC VA OH NJ
•    Fl contact told us not to call because he is set on pest control
•    We have a lot of work on eastern states 
•    Historical data with where we have done jobs in pest control 
o    States we have done OH, OR, CA, OK, WA, KS, FL, AL, MD, DE – one year data pull
o    Look at how many we did in each state?
o    List them high to low
•    Curtis will go with a vendor he works with in FL and we can use that as baseline to comp against our data base 
•    Going to try and get Orkin to give us a quote
 
06-18-2024 General Note Non Routine   Open Kick Off Call Notes:
•    All retail and non-retail locations
•    10,000 sites
•    We have work orders from last year for retail PM and non-retail PM
•    CA 1700 work orders last year
•    Scope of work 
o    Not too stringent 
o    Walgreens did one recently
•    Not a lot of data in the past two years – only billed $300K worth of cost
•    Award is going to be by state 
•    We can offer a location discount – try to force hand to get metro area
o    Can structure this at end of RFP
•    We will bid everything – with lack of data we may want to call a few providers and see what we can do 
•    Avoid conversations with Terminix – they should be bidding this also
•    $166k in last calendar year
•    Avg invoice = $734 average ticket 
o    Service 960 and contract 400
•    Asking for out of scope hourly rate, preventative pest cost per their frequency
•    Cold calling providers (5 in system) for additional scope items
•    Walgreens we went flat across most items 
•    Pricing was provided by Will 
•    Updated bid sheet shows state and number of locations 
•    Award date is unknown – not a fast-moving company
•    We can submit questions up until June 26th
•    Final answers June 28th – bid due July 10th
•    Once we get some info back – we can consolidate into a working model for CVS team to review 
•    Quick touch base next week then review session on 8th and 9th to be ready to submit on the 10th

When you bring additional fields into a conversion, Quickbase often finds inconsistencies. For example, say you're converting your Companies column into its own table. One company, Acme Corporation, has offices in New York, Dallas and Portland. So, when you add the City column to the conversion, Quickbase finds three different locations for Acme. A single value in the column you're converting can only match one value in any additional field. Quickbase needs you to clean up the extra cities before it can create your new table. To do so, you have one of two choices:

  • If you want to create three separate Acme records (Acme-New York, Acme-Dallas and Acme-Portland) click the Conform link at the top of the column.
  • If the dissimilar entries are mistakes (say Acme only has one office in New York and the other locations are data-entry errors) go back into your table and correct the inconsistencies—in this case, changing all locations to New York. Then try the conversion again.
