05-04-2022 General Note       Meeting notes on the Palmetto, GA location added late to this:

In the meeting: Jared Gairhan, Matt Alley, Scott Siener, Jacob Jackson, Gabe, Joe

Jared tried meeting with the manager here, but he wasn't available. Walked by ourselves. Landscapers that are currently doing it were out there. CRM specs were pretty close. Mow hours at 8 is good. Retention hours are good. Need to modify some changes- no mulch there any where. Pine straw is what was last put down. 60 bales of pine straw would do it. Property is pretty easy and there is only 1 gate you need to go into then everything is right there. Jared took some photos of some issues he saw that would probably be in scope. Would need to be covered under get-to-good or work on it as we go. Tree limbs are really low and impacting traffic. Haven't been cut back in a year or 2. 80% of them are too low. Fence line has not been maintained at all (growth coming through- especially at the rear of the building). Ton of crack weeds throughout the property. Current landscapers only had 2 guys out there. Jared did not see any irrigation lines or anything here. If they have it, it's not working. Nothing really to irrigate- it's just grass and trees. Small shrubs at the main entrance. 2 retention ponds onsite. Both will require a separate key. Look like they haven't been maintained in over a year. We're at $31,305 for this location for provider. Field is aligned with it. $41,769.75 Customer Rate - 12MO Season @ 25% Margin. Aerial map sent over for this location.

05-04-2022 Decision       Per Matt Alley, we will remove irrigation from our pricing for the Palmetto, GA location based on site conditions and our walk.
04-06-2022 Meeting       Q: Are fenced in retention ponds in scope or are those maintained under another contract?
A: In scope, semi-annual Landscaping inspection/clearing

04-06-2022 General Note       3 Directors for this RFP and DMG's name is bouncing around in a positive way. They've heard good things from the store level and some want to use us.
04-06-2022 General Note       Final Review w/ Jason Thorworth
In the meeting: Scott, Gabe, Jacob, Jerry & Joe
- Reviewed the most expensive locations with Jason
- Discussed palm trees and confirmed we are not pricing to maintain those. Scott emailed Lowe's to confirm they are not included in scope.
- Meeting with Amber tomorrow to finalize details on her location

04-04-2022 Question       How do we price pond maintenance? We'll make an action item to discuss with the Field team
04-04-2022 Pricing Strategy       Work on pricing ponds out with the Field team
04-04-2022 Pricing Strategy       Lowe's decision makers want the DCs pricing to mirror the store pricing as much as possible
03-25-2022 General Note       SiteRecon these and capture specs while onsite. Enter into CRM.
03-25-2022 Action - Complete       Joe and Gabe to add the SiteRecon property links into the model
03-25-2022 General Note       Jason and Bruce were not worried about covering any of these locations for land
03-25-2022 Pricing Strategy       Customer has been frustrated with vendors not showing up with proper equipment for these larger sites. Make sure we get in front of that.
03-25-2022 Question       When will they make the award?
03-25-2022 Question       When will they go active?
03-25-2022 Risk       Seasonality was not added to this sheet. We are going to base pricing off closest store
03-25-2022 General Note       Jason recommended to have the scope in hand when you visit the property
03-25-2022 SOW       Scope isn't that different from our stores. Lots of mowing, fertilization, pruning as needed. Mulch not included- on a requested basis.
03-25-2022 SOW       Fence lines sprayed 3x a year. Could be a lengthy fence around the property.
03-25-2022 SOW       Only language about retention ponds is keeping trash out of it
03-25-2022 Pricing Strategy       Procurement is the decision maker here

03-24-2022 General Note       SiteRecon to complete specs. Gabe to get quote and turn around time for the 38 locations. How many do not appear?
03-24-2022 General Note       Some RAM locations already have specs in CRM

03-24-2022 Action - Complete       Batch Geo to see which are closest to incumbent locations
03-24-2022 Action - Complete       Joe to send spec report out
03-24-2022 General Note       None of these are incumbent. We did work at an IL location.
03-24-2022 Risk       Customer does NOT have aerial maps of the locations. If we cannot make the site visit dates they are providing, we have to make assumptions
03-24-2022 Meeting       Joe to setup next meeting tomorrow 3/25. RMs, Field VPs, Scott, Gabe, Vince. Hold off until we have the proper owners of each location.
03-24-2022 Decision       SiteRecon to complete specs
03-24-2022 Pricing Strategy       Prioritize locations that aren't RAM sites
03-24-2022 Risk       Quick turn around time
03-24-2022 SOW       Basic scope. Mulch is not in it- it's upon request. Pruning.
03-24-2022 Question       We need to confirm seasons and what they want by area
03-24-2022 Key Assumption       We'll need to make the frequencies known in our pricing
03-24-2022 General Note       They have predetermined a scheduled onsite tour date that only 1 representative can be there for DMG.

Answer
Action to What We Learned

03-10-2023 01:47 PM Internal Feedback Client based bid on price as typically Lowe's does. Contact was bad with communication .
03-10-2023 01:47 PM Award Awarded 4 out of 26 sites we went after. Majority of the sites were awarded to self-performers. Next time around we should look at presenting some type of soft savings data so they don't solely focus on price.
05-09-2023 10:30 AM Loss Reasons Trust in Incumbent providers - First time going to RFP for DC’s so Lowe's went back to most of their old self providers if they were capable of meeting their requirements such as insurance.
Price- Lowe's is on a very tight budget and if we didn’t spec it the same to the person who got it. We may have over bid.
Customer prefers self performers

05-09-2023 04:12 PM Feedback •    Based all on price
•    Used multiple self-performers based off location since they were out in the middle of nowhere
•    Client was bad with communication
•    Contact on paternity leave- Tommy reaching out to get answers.
•    Sites are 150-200k a year and we are adding 20% against a self- performer- Lowe's trying to save money
•    Need to look at presenting soft savings presentation so client isn't solely fixed on price

When you bring additional fields into a conversion, Quickbase often finds inconsistencies. For example, say you're converting your Companies column into its own table. One company, Acme Corporation, has offices in New York, Dallas and Portland. So, when you add the City column to the conversion, Quickbase finds three different locations for Acme. A single value in the column you're converting can only match one value in any additional field. Quickbase needs you to clean up the extra cities before it can create your new table. To do so, you have one of two choices:

  • If you want to create three separate Acme records (Acme-New York, Acme-Dallas and Acme-Portland) click the Conform link at the top of the column.
  • If the dissimilar entries are mistakes (say Acme only has one office in New York and the other locations are data-entry errors) go back into your table and correct the inconsistencies—in this case, changing all locations to New York. Then try the conversion again.
