04-19-2023 General Note     Closed Spoke with Dillon regarding CA snow. customer states that we were too high, and we have not been awarded the state for snow.
12-07-2022 Meeting       Meeting for round 2- 22.5% margin. $60 minimum in AL for land- Bruce confirmed.
11-10-2022 Meeting       Final meeting prior to submission- confirmed states to bid for land and snow. WA, WY, NV markup 32% both land and snow. Will be a second round. 30% across the board on land.

11-10-2022 Decision       14' under in scope, 14' over is out of scope, anything additional over 14' is priced per foot. Ask Bruce and Jason to confirm rates just so we are safe- lift plus additional $25-35 for labor- $500 provider cost- $650 to the customer.
11-08-2022 Key Assumption       Detention ponds in scope. Retention ponds not in scope. IF we price these in, it will probably price us out of the bid.
11-08-2022 Meeting       Steven Fry, Troy Dean, Dillon, Torian, Clint, Jason T N/A- review pricing and scope.
11-07-2022 Meeting       RAM team- (John G)-Will be awarding by state. DG will take average cost per state. Combined land and snow price option.
11-07-2022 Key Assumption       Retention ponds are not included in standard maintenance. Dillon has in writing from the client.
11-07-2022 Decision       Leave pricing tree per foot to RFP and DG team- john G- they never do it for this customer.
11-07-2022 Decision       LL stores 2.5 times hourly rate to push and salt- John G same thing for hand labor
11-07-2022 Pricing Strategy       currently good in WY and WA then we do not need to change the pricing from where it is currently at making good margin. John G
11-07-2022 Decision       GA, FL- No bid on snow- Michael Jammes.
11-07-2022 Key Assumption       Stores in tiers 1, 2 and 3- 1 and 2 normal scope of work, high visibilty stores- tier 3- low visibility store- mow under 7" and porter.
11-07-2022 Pricing Strategy       Create a state wide price based on averages and state minimums
11-07-2022 Pricing Strategy       Due to the large amount of properties, lack of specs, and the likely hood of these sites will be minimums anyway, we are planning on bidding these with a state average. We are specking 10% of the sites to get some data behind the averages.
11-07-2022 General Note       Pasted below is a list of responses to questions that have been asked so far for the RFP.

Are photos required after every snow service for validation to be paid?  Per the snow care scope of work photos must be taken upon completion of each site / service.  It will be the responsibility of the vendor to maintain these records in the event we enquire or audit.

Does the site list shared contain Distribution or Non-Retail locations? Or is it composed of all retail locations? The site list is all store retail locations. There are no distribution or other non-retail locations.

Are services being awarded together or independently? We will review all 3 options (snow/lawn combined, snow only, lawn only) and award by state.

Are we required to bid on all locations & services to be considered for award? Please bid on all stores within states you can provide the services.  As we will award by state to be in consideration by state you will need to bid on all stores within a respective state. If there are state/s you cannot provide services, you would not need to place a bid for the stores within that state.

There is no line on the RFP spreadsheet to provide irrigation repair rates for "Major" irrigation work as mentioned in the scope of work. Can the bid sheet be altered to include this hourly rate? Or will Major repairs be handled on a time & material basis as discovered?I have uploaded an updated bid template and you can enter quoted price per hour in column AB for lawncare scope 1 only stores.
Trash Pickup: Currently trash pickup/litter is a 5-gallon bucket, then once that is the filled the rest is the store's responsibility. Is this the case? Yes or No?  Yes – 5-gallon bucket for trash/litter. Large quantities of debris from mowing or landscaping maintenance should be hauled off.  Trash from grounds can be disposed on site.

Weeds: Is keeping the weeds under 7" but not pulling them still the SOW? Yes or No?  Mowing scope of work confirmed – weeds kept under 7”, not pulling.
Power Washing:  What is included in the power washing SOW? Is power washing just the store front, the sidewalks, where? Power washing is an ad-hoc service and will be requested for a quote if service is needed in the future.

Retention Ponds: The RFP shows that retention pond maintenance is not included in the SOW options. Are the retention ponds considered in scope or Ad-Hoc?  This scope of work is Ad-Hoc.

Can a list be supplied indicating which locations have an irrigation system?  You will refer to Scope 1 stores in the bid template.  Scope 1 stores will have some kind of irrigation system.  Minor Irrigation repairs would be included in your quoted pricing for Scope 1.  Major irrigation repairs will need to be quoted additionally for scope 1 stores column AB in the bid template.

Do all locations (landlord & tenant) require both snow removal and landscaping services?  LL sites do not require landscaping or snow service, but we do request pricing for snow removal in the event LL does not respond as necessary (column T in bid template). In the event lawn service is needed pricing would be ad-hoc and quoted at that time if needed.

Retention/ Wet Ponds: retention/wet pond is for sure an Ad-hoc scope of work that would be very site specific and we would need to align on prior to completing that scope of work.

11-07-2022 Question       Per Dillon- we are being capped at 1500 sites. Can we go to the client and ask for additional sites if we show them, we are willing to invest in the Dollar General Team by adding additional bodies?
11-04-2022 General Note       “Major Repairs” include, but are not limited to, major line breaks, repair and/or replacement of valves, controllers, pumps and back-flow preventers. Contractor shall submit a quote for repair or replacement of major components and obtain approval from DG prior to proceeding with such work.
11-03-2022 Action       DIllon and Max reaching out on clarification on trash pickups, if pond and pressure washing is included in scope

11-03-2022 Action       RFP team getting quotes from site recon for specs on sites with retention ponds
11-03-2022 Comparison Account       pull CVS land data as comparison
11-03-2022 Action       Dillon, max sending current budget to group
11-03-2022 SOW       Scope only includes mow at 7 inches, weeds and liter pickup, seasonal snow is at a 2" trigger or per push at 3" trigger. Salts 2 per event
11-03-2022 General Note       states involved in bid: IA, KS, ND- no bid, NE, SD- No bid, WY (DMG), ID, FL, GA, LA, SC, AL, AZ, CA, NV (DMG), WA (DMG)
11-03-2022 Pricing Strategy       We are going to bid the most desirable states if we are capped. Last time they capped us at 1500, but won them all. Targeting states, SC, IA, KS and FL. Will potentially offer a volume based discount if the numbers allow us.They are awarding per state with a potential 3 year agreement.
11-03-2022 Competitor Battle Card       Command is currently failing, SMS quantum

Question
Answer
Action to What We Learned

05-16-2023 03:11 PM SoW Land:
•    We cut frequency for this account as much as possible due to customer quality expectations. We based the cuts on tiers with tier 3 being the biggest reductions and making the vast majority of the portfolio.

05-16-2023 03:11 PM Competitor Snow + Land
•    Command 7 was the incumbent vendor
o    They put command seven out to bid due to service issues
o    They left it with command 7 because they would rather have poor service than pay an additional 1 million

05-16-2023 03:11 PM Price •    We were way too high in seasonal snow
•    1 million higher in IA than current vendor

05-16-2023 03:11 PM Contract Length •    This is a two to three year contract
05-16-2023 03:11 PM Specs •    We feel good about specs for tier 2 and tier 1 stores– if the specs are not in CRM we need to get them in there (Action Item). Tier 3 we used averages.
05-16-2023 03:11 PM Action Snow:
•    We should rework the model and go back to the customer to see if we can sneak into the door – look at old rates vs new rates (Action Item)

05-16-2023 03:11 PM Relationship •    Gary knight was main point – Dillion has a great relationship with him
05-16-2023 03:11 PM Award •    Land: won IA KS and strategically lost WY, NV, WA
o    Strategically lost WY, NV, WA because they were in the red

05-16-2023 03:11 PM Award •    Land and Snow: Price based decision for the award
05-16-2023 03:11 PM Award •    They capped us at 1500 stores for land
05-16-2023 03:11 PM Keep In Mind Land:
•    Field always says retention ponds are not serviced but in reality we service dry ponds and on wet ponds we service up to the water line – KEEP IN MIND NEXT TIME

05-16-2023 03:11 PM Competitor Land: •    Took business from command 7
05-16-2023 03:11 PM Competitor Land:
•    We bid against scopes and sms – there are a couple of small individual competitors – they are in the north east and they bid on north and south Dakota but they did not get it. It went back to command 7

Items in the new table are called:

When you bring additional fields into a conversion, Quickbase often finds inconsistencies. For example, say you're converting your Companies column into its own table. One company, Acme Corporation, has offices in New York, Dallas and Portland. So, when you add the City column to the conversion, Quickbase finds three different locations for Acme. A single value in the column you're converting can only match one value in any additional field. Quickbase needs you to clean up the extra cities before it can create your new table. To do so, you have one of two choices:

  • If you want to create three separate Acme records (Acme-New York, Acme-Dallas and Acme-Portland) click the Conform link at the top of the column.
  • If the dissimilar entries are mistakes (say Acme only has one office in New York and the other locations are data-entry errors) go back into your table and correct the inconsistencies—in this case, changing all locations to New York. Then try the conversion again.
